An e-commerce company was generating reports manually — an analyst would export data from several systems (Google Sheets, Xero, Airtable, WMS), merge them in Excel and send them by email each week. The process took 4–6 hours per week and was prone to errors. I designed and implemented an automated reporting system in Make.com that pulls data from 5 sources, processes it and delivers reports to the right recipients — with zero human intervention.

How I built the reporting system

    Process audit — mapped all data sources, report schedule (daily, weekly, monthly) and the full list of recipients and output formats (PDF, XLSX, Slack, Notion).

    Make.com architecture — designed 4 independent scenarios: daily sales report, weekly finance summary, ops KPI dashboard and inventory alert.

  3. 3

    Data integrations — connections to Google Sheets (sales), Xero (finance), Airtable (operations), WMS API (warehouse) and HubSpot CRM (pipeline).

  4. 4

    Formatting & distribution — automatic PDF and XLSX generation, delivery to management inboxes, live dashboard published to Notion, Slack notifications to the relevant channels.

  5. 5

    Monitoring & alerts — automatic notifications on connection errors, retry logic, execution logs and a monthly system health-check report.

Result

4–6 hours of manual work per week → 0 minutes. 12 reports generated automatically every month. Report delivery time cut from 48 hours to 8 minutes. Data errors reduced by 94% thanks to input validation.
